For cleaning companies outgrowing Operto Teams

All of it is in there somewhere.
That's the problem.

Operto Teams is powerful — and reviewers say so, right alongside the steep learning curve, the interface that's functional but dated, and the month-end reconciliation that takes longer than it should. That's what depth costs when the software is organized around a property manager's portfolio instead of your book of business. Rinsebase is organized the other way: every client you serve, your invoicing, your payroll, your brand — and the number you need in two clicks, not twenty. Built by a Marine Corps veteran whose wife runs a cleaning crew.

Why cleaning companies switch

The month-end hunt

Start with what's true: Operto Teams — formerly VRScheduler — is a serious product. Their own site says more than 20,000 property managers in 90 countries run property operations on it. Drag-and-drop staff scheduling, a master multi-property calendar, custom checklists, maintenance and issue reporting with photos, staff time tracking, multi-language staff dashboards. Reviewers praise the support team consistently, and the training especially. Nobody switches away from it because it can't do things.

They switch because of what it costs to get anything back out.

It's the end of the month. You need to know what you actually earned from one property manager across nineteen properties — which cleans happened, which got rescheduled, which had a second trip, and which of them you've already been paid for.

The data is all in there. It's correct. It's just scattered across a scheduling board built to answer a different question — is every property covered? — when the question you're asking is did this client pay me what they owe me?

So you export. You cross-check against the invoice you built somewhere else. You find the two cleans that never got billed. It takes the evening. It takes the evening again next month.

That's not a bug, and it isn't sloppiness on Operto's part. It's orientation. A tool built for a property manager organizes everything around the portfolio, because that's what a property manager owns. Look at how Operto describes its own billing: bill owners for replacements, recover costs, inventory reports for owners. That's exactly right — for a manager billing the people who own the units.

A cleaning company's money moves the other way. You don't bill owners for cost recovery; you invoice clients for services, across a dozen relationships that have nothing to do with each other. Your crew is on four different pay arrangements. Your reputation lives in what the client can see. None of that is a portfolio — it's a book of business, and it needs software that's shaped like one.

The orientation difference

What a cleaning company runs on
that a portfolio tool isn't shaped for

A real multi-client CRM. Portfolio software is organized around one portfolio. A cleaning company juggles many independent clients at once — STR hosts, property managers, residential, commercial — each with their own properties, crews, checklists and pricing. Rinsebase holds all of them in one book of business, and every view starts from the client, not the unit.
Only in Rinsebase
Invoice your own clients, with Stripe Connect autopay. Rinsebase auto-drafts the invoice the moment a clean is completed, prices it from your per-property rules, emails it under your brand, and routes the money straight to your bank. Nothing gets missed at month end because nothing waits for month end.
Only in Rinsebase
Per-client revenue you can read without exporting. What each client is worth, what's invoiced, what's outstanding, which properties eat the most hours — as a screen, not a reconciliation project. This is the specific thing operators describe hunting for in portfolio-shaped software.
Payroll with mixed pay rates. Hourly, per-job, per-property and salaried crew in the same pay period, with per-property rate cards. Rinsebase calculates it from the clock, not from memory.
Only in Rinsebase
GPS clock-in / clock-out, enforced three ways. A web geofence check while clocked in, background location on the mobile app, and an SMS escalation when someone is still on the clock long after the job ended. Payroll integrity instead of estimation.
Only in Rinsebase
Mileage tracking with IRS auto-calc. Your crews drive between properties all day. Rinsebase logs the miles at the current IRS reimbursement rate and exports them at tax time — real money that goes unclaimed without it.
A branded client portal you own. Every host and property manager you serve gets their own portal — their properties, their schedule, their after-clean photo proof — under your cleaning company's name and domain. It's the single strongest reason cleaning companies win and keep property-manager contracts: you show them the dashboard in the pitch instead of promising communication.
Only in Rinsebase
You decide what reaches the client. Crews flag damage, pests, lost & found and low supplies from the field, and it all lands in one Issues view for you to review first. Nothing reaches the host until you send it, under your brand. The client relationship stays yours to manage.
Only in Rinsebase
An SOS safety button for solo cleaners. One tap sends a crew member's GPS location, the property and the job detail straight to dispatch. For someone walking alone into an unfamiliar short-term rental, it matters more than any feature on a comparison table.
Smart-lock access built around the clean, not the guest. The code you get handed is commonly one code for the whole portfolio — the same four digits at every property that manager runs, unchanged for years, living in a group text and in the phone of everyone who ever worked for you. You didn't set it and you can't rotate it, but you're the one who gets asked about it if anything goes missing. Rinsebase connects to 40+ lock brands — Schlage, August, Yale, Kwikset and more — and mints a time-boxed door code for each clean that expires when the job does. You send your client a link; they sign into their own lock on their own device, with no account to create on either side. You never hold a homeowner's credentials, and no static code circulates on a group text forever. On Pro and Enterprise.
Staff for the season before it lands. Rinsebase forecasts every clean coming across all your clients for the next twelve months, flags the back-to-backs, and estimates crews needed per day. You hire for the summer rush in spring, not in July.
Priced by crew, and published. You can read the price on this page — no demo required. Plans start at $19/mo and scale with the size of your crew, with properties unlimited on every plan. A new forty-property contract costs you nothing extra unless you hire to staff it.

Where Operto Teams may have the edge: it is a deeper, older, more configurable operations engine, with automation rules that reward the time spent learning them. It carries full maintenance work orders — assign a tradesperson, track parts and labor, close the loop with resolution photos — where Rinsebase today stops at reporting the issue to you; if maintenance coordination is part of what you sell, that gap is a real one. It serves hotels and multi-family alongside vacation rentals, which Rinsebase does not target. It also sits inside the wider Operto suite alongside guest-facing technology — guest access, upsells, guest communication — so if you want operations and the guest experience from one vendor, that is a real advantage Rinsebase does not match. And its support team is one of the most consistently praised things about it.

The pricing model

One of these prices is on the page

Operto does not publish Operto Teams pricing on its own website — you book a demo and receive a quote. Third-party software directories list starting figures that disagree with each other by an order of magnitude, which is a good reason not to trust any of them, and a good reason we're not going to print one here.

Rinsebase answers it in public. You pay for the size of your crew. Properties are unlimited on every plan. Growth in the number of properties you clean does not, by itself, raise what you pay — which is the opposite of how software priced around a property portfolio tends to behave.

How we built this table: everything in the Operto Teams column comes from Operto's own public website and its listings on public software directories as of August 2026. Where they don't publish something we've written "not published" rather than marking it absent — we're not going to guess at another company's roadmap. If you're evaluating both, ask them directly about multi-client support, invoicing your own clients and a portal under your brand, and hold us to the same standard.

Is it right for you?

Who should switch
from Operto Teams?

Switch to Rinsebase if you...
  • Run an independent cleaning company and want to own your clients, data and brand
  • Spend evenings reconciling what a client owes you against a scheduling board
  • Need to invoice your own clients and get paid without chasing anyone
  • Need payroll, GPS clock-in/out and mileage across mixed pay rates
  • Serve several independent clients and want them all in one book of business
  • Want a portal your hosts log into under your name — the thing that wins PM contracts
  • Want new crew productive in a day, without a training curriculum
  • Want to know what software costs before booking a sales call
Stick with Operto Teams if you...
  • Manage your own portfolio and need property operations, not a cleaning business platform
  • Want guest-facing technology — guest access, upsells, guest messaging — from the same vendor as operations
  • Run hotels or multi-family alongside vacation rentals — Rinsebase doesn't target those
  • Depend on deep custom automation rules you've already invested in building
  • Need a specific PMS integration that Rinsebase doesn't cover yet

How to run your business
on Rinsebase

If a property-manager client insists on their own operations tool, keep working inside it — and run your business on Rinsebase alongside it. Most cleaning companies are up and running within an hour:

1. Stand up your account — Add every client you serve, their properties and your crew. Import existing client and property lists by CSV; addresses geocode in the background.

2. Connect the calendars — Your client accepts a one-click connect invite for OwnerRez, Hospitable, Guesty or Hostaway, and their bookings sync automatically. Airbnb, VRBO, Booking.com and anything else connect by iCal. You never handle a client's PMS login.

3. Invite your crew — Enter an email or phone. They get a branded invite, download the iOS or Android app, and pick English, Spanish or Portuguese at first login.

4. Turn on invoicing + Stripe Connect — Invoices draft themselves when a clean completes, priced from your per-property rules. Enroll clients in autopay and money lands in your bank.

5. Give every client a branded portal — Your name, your domain. They see their schedule, after-clean photo proof and guest-ready confirmation, and can request extra cleans straight into your approval queue.

Common questions

Rinsebase vs Operto Teams —
straight answers

What is the difference between Rinsebase and Operto Teams?
Operto Teams, formerly VRScheduler, is property-operations software organized around a portfolio. Its own site says 20,000+ property managers use it to automate property operations, and its billing features are built for billing property owners and recovering costs. Rinsebase is organized around a cleaning company's book of business instead: many independent clients at once, invoicing those clients for your services with Stripe Connect autopay, payroll across mixed crew pay rates, and a host portal that carries your cleaning company's name. Both schedule cleans well. They differ in whose business the software assumes you are running.
How much does Operto Teams cost compared to Rinsebase?
Operto does not publish Operto Teams pricing on its own website — it routes you to a demo and a custom quote — and third-party software directories disagree with each other about the starting figure. Rinsebase publishes its pricing openly: plans start at $19 a month and are priced by the size of your crew, not by the number of properties. Properties are unlimited on every plan, so taking on a new forty-property contract does not raise your software bill unless you hire crew to staff it. If you are getting a quote, ask how the price behaves as the properties you clean go up — that is the question that matters most to a cleaning company.
Is Operto Teams good software?
Yes. It is mature, deep, and its customer support is consistently well reviewed — reviewers repeatedly single out the onboarding and training as a strength. The recurring criticism is not that it lacks capability but that the capability is hard to reach: reviewers describe a steep learning curve without onboarding training, an interface that is functional but dated, automation rules that take trial and error, and month-end reconciliation of cleans that is more tedious than it should be. If you have done the training and your operation fits the way it is organized, it is a capable system. This page is about the operations it is not organized for.
Does Rinsebase do scheduling, checklists and photos like Operto Teams?
Yes — drag-and-drop scheduling across every property you clean, per-property checklists with photo requirements, before and after photo verification, supplies tracking with restock alerts, per-property linen profiles with a printable daily pull sheet, and incident reports for damage and pest issues. Operto Teams covers this ground too, and does it well. Treat the operational feature list as roughly even and decide on the layer above it: whose clients, whose invoicing, whose payroll, whose brand.
Can I use Rinsebase if my property manager client uses Operto Teams?
Yes — they coexist, and this is the most common setup. If a property manager runs Operto Teams and wants your crew working inside it, keep doing that. Run your own business on Rinsebase alongside it: every client you serve rather than that one portfolio, your crew, your payroll, your invoicing, and a branded portal under your name. Each property's calendar syncs into Rinsebase independently, so you are never waiting on someone else's system to know when a checkout happens.
Which booking platforms does Rinsebase connect to?
Rinsebase is an Official Partner with OwnerRez and Hospitable, both with real-time API sync — bookings, cancellations and reschedules land instantly. Guesty and Hostaway connect through their public APIs. Airbnb, VRBO, Booking.com and anything else connect by iCal. Your client connects their own account from a one-click invite and picks which listings you clean, so you never handle a property manager's login.
Does Rinsebase have a free trial?
Yes — 14 days free, no credit card required. You can run the full platform during the trial, including client import, crew invites, scheduling, photo verification, invoicing, Stripe Connect and calendar sync.

A note from the founder

"I'm Todd. Marine Corps veteran. My wife runs a cleaning crew. I've sat in front of the big operations tools and they're not bad — they're just built for the person who owns the buildings. Every answer a cleaning company actually needs is one export and three tabs away, because the software was never organized around her clients, her crew or her invoices. So I built the one that is, with the cleaning company's name on the front."
